1. Introduction

This Privacy Policy explains how Deepshield AI Technology LLP, referred to as “Ugle”, “we”, “us”, or “our”, collects, uses, stores, shares, and protects personal information when you visit our website, download our software, purchase a licence, activate Ugle, contact support, or use related services.

Ugle is designed as a local-first desktop software product. Your files remain on your device. We do not upload, access, store, analyse, sell, or use your audio files, video files, transcripts, indexed files, search queries, or local search results.

This Privacy Policy is intended to be simple, transparent, and suitable for users in India and other jurisdictions where Ugle may be available.

2. Scope of this Privacy Policy

This Privacy Policy applies to:

  1. The Ugle website.
  2. The Ugle desktop application.
  3. Licence purchase and activation.
  4. Installer downloads and software updates.
  5. Customer support interactions.
  6. Optional crash reports or diagnostic reports.
  7. Emails, forms, and other communication with Ugle.

This Privacy Policy does not apply to third-party websites, payment pages, app stores, marketplaces, cloud storage providers, or third-party tools that are not owned or controlled by Ugle.

3. Our core privacy promise

Ugle is built around one simple promise:

Your content stays on your device.

Unless you choose to share something with us, Ugle does not receive:

  1. Your audio files.
  2. Your video files.
  3. Your transcripts.
  4. Your local indexes.
  5. Your search queries.
  6. Your search results.
  7. The list of files or folders you have indexed.
  8. File names from your indexed library.
  9. Folder paths from your indexed library.
  10. Any content inside your local media archive.

We do not use your content for advertising, analytics, profiling, benchmarking, training AI models, or internal review.

4. Information we collect

We collect limited information that is necessary to operate Ugle, process purchases, activate licences, provide support, deliver updates, and maintain product security.

4.1 Information you provide to us

We may collect information you provide directly, including:

  1. Name.
  2. Email address.
  3. Company name.
  4. Billing details.
  5. Support messages.
  6. Feedback.
  7. Form submissions.
  8. Purchase or licence information.
  9. Any files, screenshots, logs, or information you voluntarily send to support.

Please do not send confidential files, recordings, transcripts, legal documents, client material, or sensitive content to Ugle support unless you intentionally choose to do so.

4.2 Licence and activation information

When you purchase or activate Ugle, we may collect and process licence-related information, including:

  1. Email address.
  2. Licence key.
  3. Licence tier.
  4. Activation date.
  5. Device activation count.
  6. Hardware-derived or software-derived device identifier.
  7. Software version.
  8. Operating system version.
  9. Purchase status.
  10. Renewal or validity status, where applicable.

We use Keygen, a third-party software licensing provider, to help issue, validate, manage, and enforce Ugle licences.

Licence activation may require Ugle to communicate with Keygen to verify whether your licence is valid, active, expired, revoked, or within permitted device limits.

Depending on the implementation, licence validation may involve sending limited licence and device activation information to Keygen, such as your licence key, email address, licence tier, device activation record, software version, operating system version, IP address, and a hashed or hardware-derived device identifier.

The device identifier is used only for licence validation, device limit enforcement, fraud prevention, and licence support. It is not used to identify your files, monitor your behaviour, track your usage, analyse your content, or profile you.

Ugle does not send your audio files, video files, transcripts, local indexes, search queries, search results, indexed file names, folder paths, or local media archive content to Keygen.

4.3 Payment information

Payments may be processed through Stripe or another payment processor shown at checkout.

We may receive payment-related information such as:

  1. Transaction status.
  2. Purchase amount.
  3. Currency.
  4. Billing email.
  5. Invoice number.
  6. Payment reference.
  7. Tax information, where applicable.

We do not store your full card number, CVV, or full payment credentials. Payment processing is handled by the payment processor under its own terms and privacy policy.

4.4 Website and download information

When you visit our website or download the installer, we or our service providers may collect basic technical information, such as:

  1. IP address.
  2. Browser type.
  3. Device type.
  4. Operating system.
  5. Referring page.
  6. Date and time of request.
  7. Pages visited.
  8. Installer downloaded.
  9. Basic server logs.

4.5 Optional crash reports

If Ugle crashes, we may ask whether you want to submit a crash report.

Crash reports are designed not to include your audio files, video files, transcripts, search queries, search results, or indexed file contents.

Crash reporting is optional unless otherwise clearly stated.

  2. Licence information.
  3. Device and OS details.
  4. Problem description.
  5. Screenshots or logs you voluntarily provide.
  6. Communication history.

We use support information only to respond to your request, troubleshoot issues, improve documentation, and maintain service quality.

5. Information we do not collect

Ugle does not collect:

  1. Content of your audio files.
  2. Content of your video files.
  3. Transcripts generated locally.
  4. Search queries entered into the application.
  5. Search results shown inside the application.
  6. Indexed file names.
  7. Indexed folder paths.
  8. Information about which files you process.
  9. Screen recordings.
  10. Keystroke logs.
  11. Behavioural analytics inside your local archive.
  12. Advertising identifiers.
  13. Data for AI model training.
  14. Session duration inside the desktop app.
  15. Heatmaps or activity tracking inside your local media library.

6. How Ugle processes your content locally

Ugle may create local files on your device, including:

  1. Local transcripts.
  2. Local indexes.
  3. Local metadata.
  4. Local cache files.
  5. Local settings.
  6. Local preferences.
  7. Local logs required for software operation.

These are stored on your device unless you choose to move, export, back up, sync, email, upload, or share them through another tool or service.

You are responsible for securing your device, local storage, system account, backups, external drives, and any third-party sync services you use.

7. Purposes for using personal information

We use personal information for the following purposes:

  1. To process purchases.
  2. To activate and validate licences.
  3. To manage device limits.
  4. To provide customer support.
  5. To send invoices, receipts, and transactional emails.
  6. To send important product, legal, security, or licence notices.

We do not use your local content for advertising, profiling, behavioural tracking, or model training.

8. Legal basis for processing

Where applicable law requires a legal basis, we process personal information on one or more of the following grounds:

  4. Legitimate business purposes permitted by law.

Where processing is based on consent, you may withdraw consent where applicable. Withdrawal of consent will not affect processing already completed before withdrawal.

The Ugle desktop application does not use cookies to track your local files, transcripts, searches, or indexed archive.

The Ugle website may use cookies or similar technologies for:

  1. Website functionality.
  2. Security.
  3. Checkout.
  4. Session management.
  5. Fraud prevention.
  6. Download reliability.
  7. Basic website performance.

If we use optional analytics or marketing cookies, we will provide appropriate notice or consent controls where required by law.

You can disable cookies in your browser settings, but some website features may not work properly.

10. Third-party services

We may use trusted third-party service providers for limited operational purposes.

These may include:

  1. Keygen for software licence generation, licence validation, device activation, entitlement management, and licence enforcement.
  2. Payment processors such as Stripe or another payment processor shown at checkout.
  3. Website hosting providers.
  4. Content delivery networks for installer delivery.
  5. Email service providers.
  6. Customer support tools.
  7. Crash reporting providers, where enabled.
  8. Tax, accounting, and invoicing providers.
  9. Security and fraud prevention tools.

Keygen may process limited licence-related and device activation information required to validate your licence and enforce device limits. This may include licence key, email address, licence status, licence tier, activation information, software version, operating system version, IP address, and device identifier.

Payment processors may process payment-related information required to complete your purchase, issue receipts, manage refunds, and comply with tax, fraud prevention, and financial obligations.

These providers process information only for the purposes required to provide their services to us.

We do not route your local content through these providers.

Ugle does not send your audio files, video files, transcripts, local indexes, search queries, search results, indexed file names, folder paths, or local media archive content to Keygen, Stripe, hosting providers, CDN providers, email tools, support tools, or crash reporting providers.

11. Sharing of information

We do not sell your personal information.

We do not share your local content because we do not receive it.

We may share limited personal information with:

  1. Keygen for licence activation, validation, entitlement management, device limit enforcement, fraud prevention, and licence support.
  2. Payment processors.
  3. Hosting providers.
  4. CDN providers.
  5. Email and support tools.
  6. Professional advisers.
  7. Tax, accounting, and audit service providers.
  8. Legal, regulatory, or government authorities where required by law.
  9. Third parties involved in a merger, acquisition, restructuring, financing, or sale of business assets.

Any sharing is limited to what is reasonably necessary for the relevant purpose.

12. International transfers

Some service providers may process information outside India.

Licence activation information processed through Keygen may be processed outside India, including in jurisdictions where Keygen or its infrastructure providers operate.

Payment, support, hosting, email, download, analytics, diagnostics, tax, accounting, and security providers may also process limited information outside India depending on where they operate.

Where personal information is transferred outside India, we will take reasonable steps required under applicable law to ensure that such information receives appropriate protection.

Your audio files, video files, transcripts, search queries, local indexes, and local search results are not transferred by Ugle because they remain on your device.

13. Security

We use reasonable technical and organisational safeguards to protect the personal information we process.

These safeguards may include:

  1. Access controls.
  2. Limited internal access.
  3. Secure transmission.
  4. Vendor review.
  5. Administrative safeguards.
  6. Technical monitoring.
  7. Fraud prevention.
  8. Secure software distribution practices.

No system is completely secure. You are responsible for securing your own device, local files, passwords, operating system, user account, backup systems, and exported data.

13.1 Personal data breach

If we become aware of a personal data breach affecting personal information processed by Ugle, we will take reasonable steps to assess, contain, investigate, and remediate the incident.

Where required under applicable law, we will notify affected users and the relevant authority within the timelines prescribed by law.

This does not apply to local files, transcripts, indexes, search queries, search results, or content stored only on your device, because Ugle does not receive or control that content.

14. Data retention

We retain personal information only for as long as necessary for the purposes described in this Privacy Policy.

Typical retention periods include:

  1. Email and licence records: retained during your licence period and for a reasonable period after expiry or cancellation.
  2. Payment and invoice records: retained as required for tax, accounting, audit, and legal compliance.
  3. Device activation records: retained while your licence is active or while needed for support, resets, fraud prevention, and enforcement.
  4. Support records: retained for a reasonable period for support continuity, dispute resolution, and quality control.
  5. Crash reports: retained only as long as necessary for diagnostics, reliability, and security.
  6. Server logs: retained for a limited period for security, fraud prevention, abuse detection, and operational reliability.

When information is no longer needed, we will delete, anonymise, or securely isolate it where appropriate.

15. Your rights

Subject to applicable law, you may have the right to:

  1. Access personal information we hold about you.
  2. Request correction of inaccurate or incomplete information.
  3. Request deletion of personal information.
  4. Withdraw consent where processing is based on consent.

Because Ugle does not receive your local content, we cannot provide copies of your local files, local transcripts, local indexes, local searches, or local search results. These remain on your device.

16. How to make a privacy request

We aim to respond within a reasonable time and in accordance with applicable law.

17. Account deletion

You may request deletion of your account data by contacting:

We aim to complete deletion requests within 7 business days, unless we need to retain certain information for legal, tax, accounting, security, fraud prevention, dispute resolution, or compliance reasons.

Important: deleting account data may deactivate your licence and prevent continued use of Ugle.

Deletion of your account data may also require deletion, deactivation, or modification of licence records maintained through Keygen where applicable. Some records may be retained where necessary for legal, tax, accounting, fraud prevention, dispute resolution, or compliance purposes.

19. Children

Ugle is not intended for children.

You must be legally capable of entering into a binding contract to purchase or use Ugle.

We do not knowingly collect personal information from children. If you believe that a child has provided personal information to us, contact privacy@ugle.ai and we will take appropriate steps.

20. Business and team users

If Ugle is purchased or used by an organisation, the organisation is responsible for ensuring that its users process content lawfully.

This includes responsibility for:

  1. Recording consent.
  2. Employee privacy.
  3. Client confidentiality.
  4. Data protection compliance.
  5. Internal policies.
  6. Sector-specific compliance.
  7. Access control.
  8. Device security.

Ugle does not access the content processed locally by business or team users.

21. Legal requests

Because Ugle does not possess your local content, we cannot provide your audio files, video files, transcripts, search queries, search results, indexed files, or local indexes in response to legal requests.

We may disclose limited account, licence, payment, support, activation, technical, or device validation information if required by valid legal process or applicable law.

22. Changes to this Privacy Policy

We may update this Privacy Policy from time to time.

If we make material changes, we may notify you by email, in-app notice, website notice, or another reasonable method.

The updated Privacy Policy will be effective from the date stated at the top of the page.
